The Stanford Club of Hong Kong strives to serve the alumni community in the following areas:

1. Provide a platform for Stanford Alumni of different industries and areas of interests to connect, communicate and share ideas and experiences.
2. Encourage and provide the means of  “Continuous Learning” through ideas and experience sharing events among alumni and Stanford University affiliates.
3. Promote the goodwill of Stanford University in and around Hong Kong, China and Asia.

The Mission of the Stanford Alumni Association

The Stanford Alumni Association seeks to reach, serve and engage all Stanford alumni and students; to foster a lifelong intellectual and emotional connection between the University and its graduates; and provide the University with goodwill and support

The Mission of the Alumni Communities Department

The Alumni Communities department seeks to strengthen Stanford’s alumni communities and foster alumni relationships in order to connect alumni intellectually and emotionally to Stanford and to provide the University with goodwill and support.


Executive and General Committee Responsibilities
For all General Committee Members:
Before you join our General Committee, please join and participate at least 2 events prior each AGM (Annual General Meeting).
1. Show commitment to serving the Club and alumni community through participation of Club and Club related events.
2  Promote Club Mission to existing and new alumni in and around Hong Kong
3. Maintain a 30% attendance record to Monthly Meetings

Though we do prefer General Committee Members to join the team at the beginning of the year, we do at times accept new General Committee Members who show dedication and commitment to serve the Club.

For all Executive Committee Members:
For those who are interested to join the Executive Committee, we recommend General Committee Members to participate in at least 3 events and help lead/co-host 1 event before AGM (Annual General Meeting).
1. Served as a General Committee Member for at least 1 year.
2. Expected to participate in most of the Club and Club related events throughout the year.
3. Host or co-host at least 1 event per year.
4. Promote Club Mission to existing and new alumni in and around Hong Kong
5. Maintain a 50% attendance record to Monthly Meetings
6. Fulfill their assigned duties, as listed below, throughout the year or term of office.
7. Executive Committee members will also help contribute ($1000/year) to help fund our events. This funding will help subsidize events, namely, New Admits Reception, Send Off Party and Christmas Dinner with Current Students.
Responsibilities of the President
1. Call and host Monthly Meetings with Executive Committee and General Committee members
2. Prepare Meeting Agenda
3. Run meetings and follow up (ensure minutes/ action list/ event calendar) on action items
4. Ensure preparation of the Club Newsletter and approve prior to distribution and other Club Communications (e.g. Facebook, Club Website)
5. Respond to emails to the Club (hkclub@stanfordalumni.org; president@stanfordhk.org) and bring to Executive Committee for discussion on matters arising
6. Update policies and initiatives with Executive Committee when necessary.
7. Liase with the Farm, Stanford Club of Hong Kong Board, Parents Advisory Board (PAB) and external parties
8. Ensure compliance to Club Charter and SAA Guidelines
9. Ensure there are adequate and relevant events that are in line with the Club Mission for the members throughout the year.
10. Sucession Planning

Responsibilities of the Vice Presidents
1. Host Monthly Meetings with President for Executive Committee and General Committee members
2. Assist president in preparing Meeting Agenda
3. Assist in hosting meetings and follow up meeting action list
4. Assist in the preparation and sending of the Club Newsletter and other Club Communications (e.g. Facebook, Club Website)
5. Respond to emails to the Club (vicepresident@stanfordhk.org) and bring to Executive Committee for discussion on matters arising
6. Liase with the Farm, Stanford Club of Hong Kong Board, Parents Advisory Board (PAB) and external parties
7. Ensure compliance to Club Charter and SAA Guidelines
8. Ensure there are adequate and relevant events that are in line with the Club Mission for the members throughout the year.

Responsibilities of the Secretary(ies)
1. Maintain an up-to-date and assessable Club Records which includes: Minutes of all general and committee meetings and a Register of Members
2. Assist president in preparing Meeting Agenda
3. Assist in hosting meetings, take detail notes and follow up meeting action list
4. Respond to emails to the Club (secretary@stanfordhk.org) and bring to Executive Committee for discussion on matters arising
5. Liase with the Farm, Stanford Club of Hong Kong Board, Parents Advisory Board (PAB) and external parties
6. Ensure compliance to Club Charter and SAA Guidelines
7. Ensure there are adequate and relevant events that are in line with the Club Mission for the members throughout the year.

Responsibilities of the Co-Treasurers
1. Ensure the Club has settled all bills/invoices with a.) Exec. & General Committee Members who have paid for events, b.) Other clubs which owe us money, c.) money that the club owes other clubs/people.
2. Bring the HSBC and Paypal monthly statement to meeting for Committee Members to review.
3. Download statements from HSBC and Paypal on a monthly basis as Financial Records
4. Provide an End of Year Balance Sheet by Annual General Meeting (AGM) to the President and present it during the AGM.
5. Collect and hold all Event Finance Summaries – Event hosts are primarily responsible for clearing all event finances, the Treasurer takes a supporting role in assisting the collection of money.
6. Initiate and help complete the addition and removal of bank signatories when there are changes after the AGM.
7. Maintain Paypal account balance at 20,000HKD – Use Paypal balance to pay off expenses to other members and/or events.
